Who Can Use TheraFocus

TheraFocus is designed for healthcare professionals. This is not consumer software. It is a professional tool for running your therapy practice.

Be at least 18 years old
Be a licensed healthcare professional or authorized staff
Have authority to accept terms on behalf of your practice
Not be prohibited from using similar services under law

Your Account

When you create an account, you agree to these responsibilities. Think of it like your office key - you would not leave it lying around.

  • Provide accurate information (we verify credentials)
  • Keep your login credentials secure and confidential
  • Not share your account with unauthorized people
  • Tell us immediately if you suspect unauthorized access
  • Take responsibility for all activity under your account

What You Can Do

We give you a license to use TheraFocus for your internal business purposes. Basically, use it to run your practice. That is what it is for.

Manage your therapy practice operations

Schedule appointments and manage calendars

Create and maintain client records

Generate clinical documentation and notes

Process billing and insurance claims

Communicate securely with clients and team

What You Should Not Do

Common sense rules that keep everyone safe. If someone in your practice violates these rules, their access may be suspended.

Prohibited Actions

Use the platform for anything illegal
Share your login with unauthorized people
Try to hack, reverse-engineer, or break into the platform
Interfere with how the platform works
Copy or steal our software or code
Upload viruses or malicious content
Harass or harm other users
Try to access other users' data

Your Data & Content

Everything you create belongs to you. We are just storing it and making it accessible.

You Own It

Everything you create in TheraFocus (client records, session notes, documents) belongs to you. You can export your data whenever you want.

What We Can Do

By using the platform, you give us permission to host, store, back up, and display your content to provide our services. That is it. We will not sell it or share it without your permission.

HIPAA Protection

When you handle client health information, we act as your Business Associate under HIPAA. We are legally obligated to protect that information.

Payment & Billing

  • Billing cycle: Choose monthly or annual when you sign up
  • Payment: Fees charged in advance at start of each period
  • Price changes: At least 30 days notice before any increases
  • Refunds: Handled on a case-by-case basis

Important Disclaimers

TheraFocus is practice management software, not medical advice.

All clinical decisions are your responsibility as the treating provider. We do not diagnose, treat, or recommend treatment for any condition.

The platform is provided "as is." While we work hard to ensure reliability, we cannot guarantee the platform will always work perfectly or be available 100% of the time.

Limitation of Liability

If something goes wrong, our liability is limited to the amount you paid us in the 12 months before the issue arose. We are not responsible for indirect damages like lost profits or business opportunities. This is standard legal protection that allows us to offer the service at reasonable prices.

Cancellation & Changes

Cancellation & Termination

You can cancel anytime: Access continues through your current billing period.
We can suspend: If you violate terms. We will try to contact you first.
If we discontinue: At least 90 days notice so you can export your data.

After termination: You have 30 days to export your data. After that, we delete your information from our active systems.

Changes to These Terms

We may update these terms as our service evolves. For material changes:

We will email you at least 30 days before changes take effect

We will post a notice in the platform

If you disagree, you can cancel before they take effect

Continued use after changes take effect means you accept the new terms.

Disputes

If we have a disagreement, we prefer to resolve it through conversation first. If that does not work, disputes are resolved through binding arbitration under American Arbitration Association rules. These terms are governed by Delaware law.
